Your roster lives on the Users page in the Manage group, which needs user-management access on your role. This article covers adding one person, importing a whole squad from a spreadsheet, assigning coaches, and what to do when someone leaves.
For what each role can do, see Roles, plans and what each person can see.
Adding one person
Create User opens a drawer.
- Pick the role first. It cannot be changed later.
- Enter the name, and then the decision that matters most: the email field.
- With an email, the person is invited to sign in themselves, in the app and The Portal. You will see an "Invite sent" confirmation. An athlete with their own login can install the app on their own phone and train independently, so anything you schedule for them can be run away from the gym, with the results coming back to you.
- Without an email, you create a coach-managed profile. Ideal for athletes who only ever train on the gym device and never need their own login. An email can be added later, which sends the invitation then.
- For athletes, add weight, height, gender and birthdate. The training estimates and analyses use them, and bodyweight matters for bodyweight-relative loading.
- Add tags, and for athletes, the managing coach.
Neither email option is the default answer. Use logins for athletes who train remotely or want to see their own numbers, and coach-managed profiles for squads you always coach in person. Most organisations run a mix.

Importing a whole roster
Any roster that exists as a spreadsheet can become your Enode roster in a few minutes. Export it to CSV, then open the sidebar Import menu and choose Upload roster.
What the file needs. A .csv file up to 10 MB with a header row, separated by commas, semicolons or tabs, with dates as DD.MM.YYYY or MM/DD/YYYY. A worked example and a Download example CSV link sit inside the importer if you want a starting point.
Step 1, upload. Drag the file in. It is read in your browser at this point, and nothing is created yet.
Step 2, match columns. Map each spreadsheet column to a field, covering name, email, birthdate, gender, height, weight, role and tags, or ignore it. Obvious columns match themselves, and a live preview shows the users you are about to create. You continue when every column is matched or ignored.
Step 3, choose users. Every row appears in a table with an issues column. Fix a problem row inline or leave it out, and add tags in bulk if you want the whole intake tagged, since a "2026 intake" tag pays for itself later. A pre-check catches duplicate names and emails before anything is created.

After you confirm, the import runs in the background. You get an "Import started" panel, and the notifications bell tracks progress and completion. Rows with an email trigger invitations and rows without become coach-managed profiles, exactly as with single creation. Closing the importer mid-flow asks before discarding your work.
Assigning coaches to athletes
Assignments keep a multi-coach organisation organised: each athlete has a managing coach, and each coach or facility user carries a list of who they are responsible for. You can set this from either direction on the Users page. Open an athlete and pick their managing coach in the details, or open a coach or facility user and manage their assigned athletes or coaches in the Assignments tab.
What else the athlete drawer holds
Opening an athlete gives you more than their details. The Schedule tab shows their upcoming workouts this week, with a shortcut that schedules a new workout with the athlete pre-selected. The Activity tab shows their completed sessions this week, each opening into a performance view with a PDF export. For a coach checking in on one athlete, this drawer is often the fastest route in the whole portal.

When someone leaves: archive, do not delete
Archiving moves a user out of the daily lists while keeping every session they ever trained. The Archived toggle on the Users page shows them, and they can be restored. Deleting is permanent and confirmed as such. For a season review you will want the archived athlete's history; you will never want it deleted.
Blocked status
A user shown as Blocked has a licensing restriction. They can be listed in workouts, but the app will not record for them. Your plan settings govern this.
